Castle M&E Services Ltd is an air conditioning and HVAC contractor based in Chertsey, Surrey. This notice explains what personal data we collect, why we hold it, and what you can ask us to do with it. We are the data controller for the information described here.
What we collect
- If you enquire through this website: your name, company, email address, phone number, the type of work and building you selected, and whatever you type into the message box.
- If you become a client: site contact details, site addresses and access arrangements, and the correspondence and records relating to the works.
- Service and compliance records: commissioning data, maintenance history and F-Gas documentation relating to equipment on your site.
Why we hold it, and our lawful basis
- To answer your enquiry and quote for works. We rely on your consent and on our legitimate interest in responding to enquiries.
- To carry out and support the works. Performance of a contract with you, or our legitimate interest in running the business.
- To meet legal duties. Fluorinated greenhouse gas regulations require records to be kept for equipment containing F-Gas, and health and safety law requires records of works carried out.
Who we share it with
Only with the suppliers who run the systems we use — our email provider, our website host and the form service that delivers messages sent from this site — with subcontractors where they are carrying out part of your works, and with anyone we are legally required to tell. We do not sell your data and we do not pass it to third parties for their own marketing.
How long we keep it
Enquiries that do not become jobs are kept only as long as they are useful, and deleted on request. Records relating to completed works, including commissioning and F-Gas documentation, are kept for the periods required by the relevant regulations and for as long as we may need them to support the installation.
Your rights
Under the UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to our use of it, and ask for it in a portable format. You can withdraw consent at any time where consent is what we relied on.

Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
